Job Brief:

We are looking for a responsible Project Coordinator to administer and organize all types of projects, from simple activities to the more complex.

Project Coordinator responsibilities include working closely with our Operations Manager and Project Managers to prepare comprehensive action plans that include resources, timeframes, and budgets for the projects currently under contract by the company. You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, you should have excellent time management and communication skills, as you'll collaborate with clients and internal teams to deliver results in hitting critical deadlines.

Ultimately, the Project Coordinator's duties are to ensure that all projects are completed on time, within budget and meet high quality standards.

Responsibilities:

  • Coordinate project management activities, resources, equipment and information
  • Purchase materials, plan inventory and oversee supplier efficiency
  • Liaise with project Engineers to identify and define requirements, scope and objectives by sending material submittals for approval and post approval tracking
  • Assist Project Managers with schedule and submittal management
  • Input budget information into accounting software and issue updated project reports to the Operations Manager and Project Managers
  • Assist Project Managers monitor projects and handle any issues that may arise
  • Issue all appropriate legal paperwork (e.g. contracts, subcontracts and terms of agreement)
  • Create and maintain comprehensive project documentation, plans and reports
  • Ensure standards and requirements are met through conducting quality assurance tests

Requirements:

  • Proven work experience as a Project Coordinator or similar role (Heavy Civil Underground Utilities experience is a plus)
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Familiarity with software such as Computer Ease, Procore, Adobe Acrobat, MS Office
  • BSc in Business Administration or related field is a plus
  • PMP / PRINCE2 certification is a plus
